1. Contract 

The contract for a short term holiday rental shall be made between the client and Underley Estate.  The contract shall be governed by UK Law. It will be entered into when the deposit is processed and Underley Estate issues the confirmation letter.  The contract will be subject to all the following booking conditions.  In these booking conditions “we”, “our” and “the Company” means Underley Estate

2. Prices

The price of accommodation includes:

  • Electricity
  • Central heating
  • Logs from the estate (starter pack – more logs can be purchased from the Estate) 
  • Hot water
  • Cleaning
  • Cots and high chairs if required
  • Bed linen and towels
  • WiFi

3. Payment 

A deposit of 30% of the total rental fee is payable if the booking is made more than eight weeks before the commencement of the rental. The deposit is non-refundable. Non-payment of the balance of the rental on or before the due date shall be construed as a cancellation of the contract by the client. Should we not receive the balance by the due date then we will attempt to contact the guest using the contact details with which we have been supplied, but it remains the guests responsibility to ensure the balance is paid on time.  For bookings made less than eight weeks before the commencement of the rental the total rental fee is payable upon booking. If we still have not received the balance three weeks after the due date, then the booking will be deemed to have been cancelled, we will be free to re-advertised the property. When a booking is cancelled, the percentage of the booking fee charged as a cancellation fee (i.e. not refunded) will depend upon the amount of time still to elapse before the arrival date as per the table on the below:

4. Cancellations

Any cancellation made by the client for whatever reason must be made in writing.  If the booking is cancelled within two weeks of the arrival date, the entire rental fee will be forfeited.  For cancellations made prior to two weeks before the arrival date, a percentage of the rental fee will be refundable, the percentage being calculated according to a sliding scale and increasing with the length of time between the date of cancellation and the arrival date.  Our cancellation policy is explained further in Paragraph 3.  Underley Estate strongly recommends that you take out cancellation insurance. If we are able to re-let the property for the original dates then we will refund the rental fee once full payment has been received,

5. VAT

VAT is included in the rental fee where applicable.  Current rates in the UK are 20%.  If you require a VAT receipt, please contact the Estate team.

6. Period of Hire 

Rentals commence, unless otherwise notified, at 4pm on the day of arrival and terminate at 10am on the day of departure.

7. Number of persons in the property 

The number of persons in the property must not exceed the maximum number stipulated in the brochure or on the website

8. Children

Guests must accept responsibility for the safety of their children; no child may use a swimming pool unaccompanied

9. Dogs

Dogs are allowed in the cottages with prior consent. All dogs are not allowed upstairs or on beds or furniture.  We ask that dogs are not left unattended and that dogs are kept on leads throughout the Estate. Clients with allergies should be aware that pets have stayed in these holiday cottages and Underley Estate cannot accept any liability for any suffering which may occur as a result of such animals having being present.

10. Complaints

Should there be any cause for complaint during the occupation of the property, it must be notified promptly to Underley Estate and in the case of a serious problem confirmed in writing.

11. Care of the Property 

The client shall take all reasonable and proper care of the property and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair and the same clean tidy condition at the end of the rental period as at the beginning.

12. Breakages or damage 

The client is legally bound to reimburse Underley Estate for replacement, repair or extra cleaning cost on demand.

Please take care when staying at our property. 

We ask is that you report any incidents as they occur, including minor breakages.

13. Non-availability of accommodation

We would only cancel your holiday if your accommodation were unavailable for reasons beyond our control. We would however attempt to offer you alternative accommodation.  If this were not possible, or unacceptable to you, the we would refund all monies paid by you for the holiday. Our liability would not extend beyond this refund.  We cannot refund money if you are unable to make the journey due to adverse weather conditions or illness.

14. Liability 

Underley Estate, its employees and agents do not accept third party liability in respect of breach of contract, negligence, misrepresentation or otherwise.

15. Warranties

Underley Estate does not warrant and is not responsible for the accuracy of any verbal information given or statements made by any of its servants or agents.

16. Right of entry 

Underley Estate shall be allowed the right of entry to the property at all reasonable times for the purposes of inspection and to carry out any necessary repairs or maintenance. Or to deal with a request made by you during your stay.
